Collaboration

Collaboration and access

Write with collaborators, add comments to the text, and set access for each person.

Writing together Link to Writing together#

Collaborators can edit the same script at the same time. Named cursors show their positions. Screencake combines their changes. After five minutes in the background, a tab no longer shows in the presence list. It shows again when you return.

Two writers

Named cursors identify writers and their positions.

Select View → Authors to identify authors with color. A legend lists collaborators, colors, and their proportions of the text. Imported text, restored text, and text written before author tracking show as Unattributed. To hide author colors, select View → Authors again.

Threaded comments Link to Threaded comments#

Select text and select Comment. Add replies in the thread. When the discussion is complete, resolve the thread. Comments stay with the text through edits. Use the inspector button in the toolbar to open or close the panel.

Type @ and select a collaborator to mention them. Email addresses distinguish people with the same name. Examine-link guests are not available for mentions.

If the text is removed, the comment keeps the quotation and shows Detached. A version restore reconnects comments if their quoted text shows exactly once.

Readers and guests can edit or delete their own notes, but not another person's notes. Resolving another person's thread requires writing access.

Notifications Link to Notifications#

Mentions send notifications within approximately two minutes. Screencake groups other comments in emails. It does not notify you about your own comments or while you view the window.

Manage email and phone alerts in Account › Notifications. Comment emails also include an unsubscribe link. For desktop alerts, give permission in the browser or app. Workspaces can send updates to a Slack channel.

For an email with one comment, reply to add your answer to the thread. Emails with grouped comments or encrypted-script notes do not support replies. If Screencake cannot add a reply, it sends an explanation.

Encrypted-script emails name who mentioned you and where, but never include the comment text.

Comments stay connected to the text through edits.

Open Share in the editor to create a link. Guests can read in a browser without an account or paid seat.

  • Read link: a page-accurate, read-only script.
  • Comment link: guests enter a display name and leave anchored notes. Storyboard comment links allow frame notes.
  • Access: add a passcode or revoke the link at any time.
  • PDF download: off by default. Enable it for each link as necessary. Views and downloads are counted.

Guest pages show the link watermark on screen and in print. If set, the recipient name also shows. To change the name, create a new link.

Reports, sides, shot lists, and call sheets also support guest links. See the Production guide.

Roles Link to Roles#

Select the role that fits each person's work:

  • Owner. Manages workspace settings, productions, and people. Can delete the workspace.
  • Admin. Everything the owner can do, except delete the workspace.
  • Writer. Creates, edits, and deletes scripts in a production.
  • Editor. Creates and edits scripts, but cannot delete them.
  • Producer. Reads and comments without changing script text.
  • Reader. Reads and comments without writing access.
Manage collaborator roles and guest links in different tabs.

Roles control permissions. Your craft controls which tools show first.

For standard cloud scripts, readers and editors do not receive budgets, crew contact details, or crew pay rates. This restriction also applies to downloaded document state and script copies. Role changes reconnect active collaboration sessions with the new permissions.

Report a problem Link to Report a problem#

You can delete your own comments or report someone else's. Report is also available under storyboard pictures and beside people on the roster.

Each role can report a problem. Reports include the quoted note and go to our team for examination.

Owners can remove workspace or production access immediately. Revoking a guest link also disconnects anyone using it.

Access to workspaces and productions Link to Access to workspaces and productions#

Owner and admin roles control access to the complete workspace. Writer, editor, producer, and reader roles control access to a production and all its scripts. Access to one production does not give access to a different production.

Owners and admins invite from the workspace page and assign workspace or production roles. Writers can invite from a production page or Share in the editor. Writing-team and studio setup also includes invitations.

Owners, admins, writers, and editors can change a production's title and description in Production settings. This works offline in the desktop app.

Workspace and production pages work in the apps and browser. A connection is necessary for membership lists, including when script text is stored on the device.

On a production page, open Roles and permissions to compare role access.

On Studio, owners and admins can read the workspace audit log. Each plan records invitations, role changes, shared links, and security settings. Studio also records sign-ins with IP addresses, script views and exports, guest views and downloads, and script creation, renames, and archives. It records single sign-on, API token, and webhook changes.

Each row identifies the person and time. Filter by Access, Sharing, Security, Scripts, or Developers. Select Export CSV to download all rows or the filtered rows. The workspace keeps rows until workspace deletion.

On Studio, a workspace owner can request a workspace archive from the workspace page. This ZIP contains production scripts (Fountain, Final Draft, PDF, raw documents, and pictures). It also contains members and pending invitations.

On the workspace page, open Workspace archive to show the export controls.

Screencake creates the archive in the background. Its download link stays valid for seven days. For encrypted scripts, the archive includes metadata and pictures only. It does not include readable script text.

Seasons and episodes Link to Seasons and episodes#

Keep each episode as an individual script within a production. Add a season and episode number when creating a script, or in Script settings later. This works for screenplays and AV scripts.

Enter the two numbers. For a standalone script, keep the two fields empty. Several drafts can share an episode number. Production pages group scripts by season and sort episodes by number. To see these groups in the Library, select a production.

Duplicate keeps episode numbers. New from template clears them. In Local Mode, select Season / episode on the Library card. The local Library does not group scripts by season. Episode labels work offline. Script packages and cloud moves include them.

Payment Link to Payment#

The production owner pays. Invited collaborators use free accounts. Guests with a link can read without an account.

Encrypted scripts Link to Encrypted scripts#

Encrypted scripts are available only to writers, editors, admins, and owners who have set up encryption. A key holder must open the script to share its key with a waiting collaborator. Producers, readers, and guests cannot open it. See Encrypted scripts.
